AMENITIES / POLICIES

We are privileged and honored to have you as our guest and client.  We hope you find our office warm and inviting and that you recognize our professionalism and willingness to serve…so that you will frequent our center and tell all of your family and friends about us!

Because we are a massage therapy clinic and not a day spa, we want to initiate a solid client-practitioner relationship by letting you know what you can expect of us, as this may be your first encounter with our type of practice.

Our goal is to reduce your stress, and the first step in that process is to open lines of communication.  Thus, we have provided the following information for you to review so that misunderstandings are at a minimum and wonderful, fulfilling experiences are at a maximum!

We are dedicated to making each visit with BODY & SOLE a great experience in every way.  Please tell us of any opportunity to improve as we do value your suggestions.

FOR YOUR COMFORT
At BODY & SOLE, we strive to provide an uplifting, relaxing, and memorable experience for all of our clients.  While we absolutely want your experience to be enjoyable and fun, we also ask that you respect the needs of other clients for an escape into the quiet and tranquility of our center.  Accordingly, we ask you to turn off or mute your cell phone and leave your worries at home!  (If an emergency arises, please keep any conversations as quiet and brief as possible.

For their safety (as well as for the quiet comfort of our clients), children without appointments are not allowed in the treatment rooms.

Because we are concerned about health and wellness as well as our environment, our center is smoke free.

CHOOSING A THERAPIST
Our professional staff members are fully trained and licensed (as required) for the services they provide.  We employ unique and distinct individuals who are nurturing and caring.

We encourage our clients to experience massage from the perspective of each therapist, to discover the unique healing gifts of each therapist, and also of whom you would feel the greatest rapport.

Even though you may have a “regular” or favorite massage therapist here at BODY & SOLE, at times it might be advantageous and encouraged to be seen by a specific massage therapist at our center who specializes in certain techniques for your illness or condition.  This recommendation would be discussed first with you before those sessions are set up.

We are a professional team and are pleased to have clients served by any of our staff members.

MAKING AN APPOINTMENT 
Though many times we are able to schedule appointments on the same day of your call, we usually suggest scheduling two or three days in advance of your desired date.  This is especially true if you need a specific time or prefer a certain therapist* for your services.

*Because of the unique and specialized bodywork
modalities practiced as well as the advanced, extensive
experience of Yvonne Fey, availability of appointment
times could take longer to schedule.  In the case of
emergencies (such as a car accident, surgery, illness,
or other trauma), arrangements will be made to assist
these specific needs, so we invite you to always call
to discuss how we can effectively provide care for
these situations.

Keep in mind that group bookings might take longer to coordinate, so you’ll probably want to allow a week or two for the best selection of times and services.

If you do not have a “regular” therapist, let our support staff know what results you want from your massage.  They will be able to schedule you with a convenient time and an appropriately-trained therapist to meet your needs.  Any of our skilled practitioners can blend a unique combination of techniques to achieve your desired results.

Unless otherwise instructed, as a courtesy to our clients we will make a confirmation call to you the day before your session as a friendly reminder of the time of your appointment.  (Since we are not open on Sundays, a confirmation call will be made on Saturday if you have a session on Mondays.)

We invite you to schedule an appointment to escape from life’s responsibilities for just a little while, and use your time with us to reflect and relax.  We look forward to seeing you soon!

LATE ARRIVALS
Your appointment time is reserved solely just for you!

An early arrival allows time to complete the health assessment form (first session) and/or the opportunity to enjoy some hot tea.  A late arrival may result in a shortened treatment session to assure that the next client is not delayed.

If you expect to be late for your appointment, please let us know as soon as possible so we can make any adjustments needed to keep you and our staff on schedule.  Although we will do whatever we can to accommodate late arriving clients, it will not always be possible for us to give a late client their entire appointment time, especially if the client is more than ten minutes late.  Please note that the client is responsible for payment for the scheduled service, not the time given.

Unfortunately sometimes timing issues occur that are beyond our control.  When a service starts late due to a therapist or staff member issue, we will make every attempt to give you the full service.  If time issues for either party prevent this, we will make other arrangements to reschedule the appointment or resolve it to the client’s satisfaction.

CANCELLATIONS / NO SHOWS
We at BODY & SOLE make a commitment to you to guarantee your appointment time and refusing all other requests once you have made that appointment.

We respect your valuable time by doing our very best to make sure that all of your services begin on schedule.  In order to do this, each service is booked in advance with the appropriate therapist.

While we understand that unexpected things do happen, we ask that you respect their time as much as we respect yours and take appropriate responsibility for the appointments you make.

If you must cancel, please extend us a courtesy of at least a phone call 24 hours prior to your appointment.  If you call during business hours, our support staff will be happy to cancel and/or reschedule your appointment for you, or you may leave a message on our message center after hours.

If you do not phone to cancel or you do not show up for your appointment, we reserve the right to charge you up to 100% of the cost of your booked services and will be determined by the owner’s discretion.  Gift certificates and same day appointments are also subject to this policy.

We have established these important guidelines to ensure that our therapy staff are compensated for the time they set aside for our clients.  Without proper notice of cancellations, we may not have time to contact other clients who might also be in need of relaxation and rejuvenation.

We greatly appreciate your understanding and cooperation!

WHEN WE WANT YOU TO CANCEL!
If you have a fever or an infectious sickness, even a common cold, that would be a good reason to postpone your massage appointment! 

For one thing, touch may not feel good.  For another, you may be contagious, especially in the first stages of a cold or flu.  This is usually when you are feeling the worst, when you are coughing and sneezing frequently. 

The more you limit your contact with others, including your massage therapist, the less you will spread it around.  For example, if you don’t “pass” a cold on to your massage therapist, she won’t spread it to all the other clients!

  • Studies show that you can transmit a cold or flu to others one or two days before your symptoms appear, and up to five days after first being exposed to the virus.  According to the National Institutes of Health (NIH), colds are most contagious two to four days after original exposure, when there is plenty of the virus present in nasal secretions.

Remember, whenever you have any questions about the appropriateness of massage, be sure to talk with your massage therapist or our support staff person when you schedule the appointment.  And, if you are under the care of a physician for any reason, please let them know you are receiving massage therapy.

METHOD OF PAYMENT
We presently accept only cash or checks for our services and retail products, and payment is due at the time services are rendered.  We do not invoice or have “house accounts” for our services; therefore, credit terms do not exist.

In an effort to keep our sessions costs affordable for our clients, we are not set up at this time to accept debit or credit cards.

A $35 processing fee will be charged should any personal check fail to clear.

Sales Tax: Since 2003, Ohio law requires massage therapists to charge sales tax for massage services.  However, it is possible to obtain an exemption from sales tax if massage therapy is recommended by a physician or chiropractor for health reasons.  To obtain an exempt status, please bring in a prescription from your health care provider, stating that massage therapy is indicated in your case for medical/health reasons.  We will need to keep this statement in our files and may request yearly updates as needed.

INSURANCE / WORKER’S COMPENSATION
Medical Insurance coverage of massage therapy services when performed by a massage therapist varies greatly.  We would advise you to check with your insurance carrier to review your policy.

As the health care industry recognizes wellness and preventative care as a way to save on medical expenses, you will see a trend to cover massage therapy by insurance companies.

If your plan does cover massage therapy as performed by a massage therapist, unfortunately at this time we are not set up to handle direct billing to your carrier.  We will, however, provide a receipt for payment of your massage services with the proper CPT code.   This can then be submitted to your insurance company for reimbursement.

Automobile Accidents: We are, however, looking into handling automobile insurance claims.   In the State of Ohio if you are involved in an automobile accident, you ARE eligible for massage therapy treatments which are covered by most automobile insurance companies.

Worker’s Compensation: We are not set up to handle Worker’s Compensation claims at this time.

GIFT CERTIFICATES / DISCOUNTS
A gift certificate from BODY & SOLE makes a memorable and unique gift year round!

Whether you buy one for a holiday gift, for a special occasion, or in recognition, our certificates will allow your recipient to create their own perfect BODY & SOLE experience.  By giving someone time for themselves, you are acknowledging them and showing how much you appreciate them!

Gift certificates can be purchased for a specific amount of time or service, a fixed dollar amount, or for special packages that might be offered throughout the year.  We issue the certificates with a one-year expiration date with the intent to encourage the recipient use and enjoy this wonderful gift you bought!

If the recipient does not wish to use the certificate, they are transferable.  Please note that refunds are not given for gift certificates.

Throughout the year we do offer a number of special offers, promotions, and packages on our services, so be sure to check with our office or website for details.  Discounts and coupons are taken from the normal session pricing and cannot be combined with any offer.

To ensure an ideal experience here at BODY & SOLE, please do not hesitate to discuss with us any issues that may rise.  If any of our services or products fail to meet or exceed your expectations, we will be happy to work out a satisfactory arrangement or resolution.

Please call us with any feedback you may have…we do not want you to “just not come back”.  We are committed towards making it right!

Gift Certificates: We do not offer refunds on gift certificate purchases, but will gladly transfer the certificate to another individual with the return of the original gift certificate.

Retail:  Unopened and undamaged retail product returns must be accompanied with the receipt within 30 days.
